Responsibilities
- Calendar Management: Manage and prioritize complex executive calendars, scheduling meetings, appointments, and video conferences while preventing conflicts.
- Email Administration: Handle and filter email correspondence, drafting professional responses and flagging urgent items for the executive.
- Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and ground transportation.
- CRM & Data Entry: Maintain accurate records in our CRM system and perform general data entry tasks with high precision.
- Research & Reporting: Conduct market research, compile data for presentations, and prepare background briefings.
- Project Support: Assist in managing project timelines and coordinating with cross-functional teams using project management tools.
- Vendor Management: Liaise with service providers and vendors to ensure timely delivery of services.
Qualifications
- Experience: Proven experience as a Virtual Assistant or Executive Assistant (2+ years preferred).
- Technical Proficiency: Must be proficient in Google Workspace (Gmail, Calendar, Docs, Sheets) and Microsoft Office Suite.
- Communication: Excellent written and verbal communication skills with a professional tone.
- Time Management: Ability to manage multiple priorities, meet deadlines, and work independently without direct supervision.
- Tools: Familiarity with project management software (e.g., Asana, Trello) and communication tools (e.g., Slack, Zoom).
- Internet: Reliable high-speed internet connection and a quiet home office environment.
