Responsibilities
- Coordinate and optimize complex scheduling across multiple departments using advanced calendar management systems
- Communicate schedule changes proactively with clients and stakeholders via email, phone, and digital platforms
- Analyze appointment data to identify inefficiencies and implement process improvements
- Act as primary point of contact for scheduling conflicts, resolving issues with diplomacy and urgency
- Maintain accurate digital records in CRM and scheduling software with zero tolerance for errors
- Collaborate with cross-functional teams to align resource availability with project timelines
- Generate weekly/monthly scheduling reports for leadership review
- Train team members on scheduling protocols and software best practices
Qualifications
- Minimum 3 years of professional scheduling or coordination experience in client-facing roles
- Expert proficiency in calendar management tools (Outlook, Calendly, Salesforce) and CRM systems
- Exceptional verbal/written communication skills with proven conflict resolution abilities
- Advanced organizational skills with demonstrated ability to manage competing priorities
- Proven experience with data analysis and reporting tools (Excel, Tableau)
