Responsibilities
- Calendar & Scheduling: Manage and optimize executive calendars, schedule meetings, and coordinate complex travel itineraries, including flights and accommodations.
- Communication Management: Serve as the primary point of contact for email and phone correspondence, filtering inquiries and drafting responses with professionalism.
- Project Coordination: Assist in project management tasks, track deadlines, and ensure cross-functional teams are aligned on key deliverables.
- Research & Reporting: Conduct market research, prepare weekly reports, and summarize key business intelligence for leadership review.
- Administrative Support: Handle expense reporting, data entry, and document preparation using advanced office software.
- Vendor Liaison: Manage relationships with external vendors and service providers to ensure service quality and cost efficiency.
Qualifications
- Experience: Minimum of 3 years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Gmail, Calendar, Drive).
- Time Management: Excellent ability to multitask and prioritize tasks effectively in a remote setting.
- Communication: Superior written and verbal communication skills with a polished professional tone.
- Reliability: Must be self-motivated, trustworthy, and able to work independently with minimal supervision.
- Tools: Familiarity with project management tools (e.g., Asana, Trello) and CRM software is a plus.
