Responsibilities
- Strategic Calendar Management: Oversee complex schedules, coordinate meetings, and manage internal and external appointments efficiently.
- Communication & Correspondence: Draft, proofread, and edit professional emails, memos, and reports on behalf of executive leadership.
- Travel Coordination: Plan and book domestic and international travel arrangements, including itineraries, flights, and accommodations.
- Project Management: Utilize tools like Asana and Trello to track project progress, set deadlines, and ensure team accountability.
- Research & Analysis: Conduct market research, compile data, and prepare comprehensive reports to support business decisions.
- CRM & Database Management: Maintain and update customer relationship management systems with accurate and current information.
- Administrative Support: Handle incoming calls, screen visitors, and manage incoming mail and packages.
Qualifications
- Experience: Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role (minimum 2 years preferred).
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive).
- Communication: Exceptional written and verbal communication skills with a focus on grammar and tone.
- Time Management: Strong ability to prioritize tasks, manage time effectively, and meet strict deadlines without supervision.
- Tools: Familiarity with project management software (Asana, Trello, Monday.com) and CRM systems (Salesforce, HubSpot).
- Integrity: High level of confidentiality and discretion when handling sensitive information.
