Responsibilities
- Manage executive calendars, scheduling appointments, and coordinating meetings across time zones
- Handle confidential correspondence, email management, and document preparation
- Conduct research, compile reports, and maintain accurate digital filing systems
- Assist with travel arrangements, expense reports, and vendor communications
- Support project coordination using tools like Asana, Trello, or Monday.com
- Perform data entry, bookkeeping basics, and CRM maintenance (Salesforce experience a plus)
- Act as first point of contact for clients and internal stakeholders
Qualifications
- Minimum 3 years of remote administrative support experience
- Expert proficiency in Microsoft Office Suite and Google Workspace
- Exceptional written and verbal communication skills
- Proven ability to manage competing priorities with minimal supervision
- High typing speed (60+ WPM) and accuracy
- Experience with calendar management software (Calendly, Outlook)
- Discretion handling confidential information and sensitive data
- Must reside in San Jose, CA area for timezone alignment
