Responsibilities
- Calendar Management: Manage and maintain complex calendars for executive leadership and internal teams, ensuring optimal time utilization.
- Appointment Coordination: Schedule meetings, appointments, and conference calls with precision, confirming all details with attendees.
- Conflict Resolution: Handle scheduling conflicts efficiently and propose alternative times to minimize disruption.
- Communication: Act as the primary point of contact for scheduling inquiries via email, phone, and in-person interactions.
- Travel Logistics: Coordinate travel arrangements, including booking flights, hotels, and ground transportation when required.
- Database Maintenance: Update scheduling software and internal databases to ensure accurate record-keeping.
Qualifications
- Education: High school diploma or equivalent required; Associate or Bachelor’s degree in Business Administration preferred.
- Experience: Minimum of 2 years of professional experience in administrative coordination or scheduling.
- Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and familiarity with scheduling platforms (e.g., Calendly, Salesforce, or similar).
- Soft Skills: Exceptional organizational skills, attention to detail, and the ability to multitask in a high-pressure environment.
