Responsibilities
- Manage and maintain complex calendars for executive staff and department heads, including scheduling appointments, meetings, and travel arrangements.
- Coordinate and book client appointments and consultations, ensuring all necessary pre-visit information is sent and received.
- Act as the primary point of contact for inbound calls and emails, answering inquiries and routing them to the appropriate team members.
- Update and verify client and patient records in our CRM and scheduling software to ensure data accuracy.
- Prepare daily and weekly schedules for the front desk team, ensuring optimal staffing levels.
- Handle rescheduling and cancellations with professionalism and minimal disruption to the workflow.
Qualifications
- High school diploma or GED required; Associate’s degree or relevant certification is a plus.
- Minimum of 1-2 years of experience in scheduling, administrative coordination, or a customer service role.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and experience with scheduling software (e.g., Calendly, Acuity, or similar) is highly preferred.
- Excellent verbal and written communication skills with a professional and polished phone manner.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Ability to work independently and collaboratively within a team structure.
