Responsibilities
- Calendar & Scheduling Management: Oversee complex calendars, schedule meetings, coordinate travel arrangements, and manage appointments to optimize executive time.
- Email & Communication: Draft, proofread, and distribute professional emails; screen and filter incoming communications to prioritize urgent matters.
- Project Coordination: Assist in managing ongoing projects, track deadlines, and ensure deliverables are met on schedule.
- CRM & Data Entry: Maintain and update our customer relationship management system with accurate and up-to-date information.
- Research & Reporting: Conduct market research, compile reports, and prepare presentation materials for executive review.
- Document Management: Organize digital and physical files, ensuring easy retrieval and secure data handling.
- Team Collaboration: Act as a liaison between departments, facilitating communication and information flow.
Qualifications
- Experience: Minimum of 2-3 years of experience as a Virtual Assistant or Executive Assistant in a remote or hybrid setting.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive).
- Communication: Exceptional written and verbal communication skills with a professional and polished tone.
- Tools: Familiarity with CRM software (e.g., Salesforce, HubSpot) and project management tools (e.g., Asana, Trello).
- Time Management: Proven ability to multitask, prioritize tasks effectively, and meet deadlines in a remote work environment.
- Reliability: A self-starter with a high level of accountability and the ability to work independently with minimal supervision.
- Location: Must reside within the United States, preferably in the Houston, TX area for potential occasional in-person meetings.
