Key Responsibilities:
In this pivotal role, you will serve as the right hand to our leadership team, ensuring that operations run smoothly so executives can focus on strategic growth. You will be responsible for managing communications, coordinating travel, and maintaining our digital ecosystem.
Responsibilities
- Calendar & Travel Management: Manage complex calendars, schedule meetings, coordinate domestic and international travel arrangements, and prepare itineraries.
- Communication Hub: Act as the primary point of contact for email correspondence, screening and routing inquiries, and drafting professional responses.
- Document Management: Prepare, edit, and format reports, presentations, and correspondence using Microsoft Office Suite and Google Workspace.
- Research & Data: Conduct market research, compile data for internal reviews, and maintain accurate databases.
- Project Coordination: Assist in project management tasks, track deadlines, and ensure team deliverables are met on time.
- Social Media Support: Manage social media content calendars and engage with our audience across platforms.
- Vendor Liaison: Handle communications with external vendors and service providers to ensure seamless business operations.
Qualifications
- Experience: Minimum of 3-5 years of experience as a Virtual Assistant or Executive Assistant in a corporate or professional services environment.
- Technical Proficiency: Advanced proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Docs, Sheets).
- Tools: Experience with project management tools (Asana, Trello, Monday.com) and communication software (Slack, Zoom).
- Communication: Exceptional written and verbal communication skills with a professional and polished tone.
- Organization: Superior organizational skills with the ability to multitask, prioritize, and manage time effectively.
- Independence: Highly self-motivated and able to work independently with minimal supervision.
- Local Presence: Ability to work from our San Diego office for occasional team meetings or events.
