Responsibilities
- Calendar Management: Oversee and manage the complex schedules of medical providers and administrative staff, resolving conflicts to ensure optimal workflow.
- Patient Coordination: Schedule patient appointments, follow-ups, and procedures via phone and online portals while providing exceptional customer service.
- Communication Hub: Act as the primary point of contact for patient inquiries, relaying critical information and confirming details to minimize no-shows.
- Data Accuracy: Maintain and update electronic health records (EHR) and scheduling databases with the highest level of precision and confidentiality.
- Administrative Support: Prepare daily schedules, handle cancellations, reschedule appointments, and coordinate travel for visiting specialists.
- Process Improvement: Monitor appointment flow and identify opportunities to streamline scheduling processes for both staff and patients.
Qualifications
- Experience: Minimum of 1-2 years of experience in a medical or administrative scheduling role.
- Software Skills: Proficient in Microsoft Office Suite (Outlook, Excel, Word) and experience with EHR systems (e.g., AthenaHealth, Epic) is a plus.
- Communication: Strong verbal and written communication skills with a professional, empathetic, and patient-first demeanor.
- Organization: Superior organizational skills with the ability to multitask, prioritize effectively, and manage time under pressure.
- Attention to Detail: Ability to spot scheduling conflicts and administrative errors before they impact operations.
