Responsibilities
- Manage Complex Calendars: Coordinate and schedule appointments, meetings, and procedures efficiently using industry-standard scheduling software.
- Communication Hub: Act as the primary point of contact for patients and staff, answering inquiries and providing confirmation details via phone and email.
- Record Maintenance: Accurately update patient records, track no-shows, and ensure all scheduling data is up-to-date in our database.
- Vendor Coordination: Liaise with external partners, laboratories, and insurance providers to secure necessary approvals and appointments.
- Problem Resolution: Anticipate scheduling conflicts and proactively resolve issues to minimize downtime for our healthcare providers.
- Reporting: Generate daily, weekly, or monthly reports regarding appointment volumes and availability.
Qualifications
- Experience: Previous experience in a scheduling, administrative, or medical office environment is preferred.
- Technical Proficiency: Must be proficient with MS Office Suite and experience with EMR (Electronic Medical Records) or scheduling platforms (e.g., AthenaHealth, Calendly).
- Flexibility: Ability to adapt to changing priorities and work flexible hours as required by the department.
- Communication: Excellent verbal and written communication skills with a professional and friendly demeanor.
- Attention to Detail: Strong organizational skills with the ability to manage multiple tasks simultaneously without error.
- Education: High school diploma or GED required.
