Responsibilities
- Manage complex calendars for medical staff and executives, ensuring optimal time allocation and minimizing conflicts.
- Receive and process appointment requests via phone, email, and patient portal with accuracy and speed.
- Communicate appointment details, reminders, and pre-visit instructions to patients to ensure high attendance rates.
- Maintain and update patient records and scheduling databases, ensuring all information is current and confidential.
- Coordinate travel arrangements, venue bookings, and meeting logistics for departmental events and conferences.
- Resolve scheduling conflicts and emergency requests promptly while maintaining a positive patient experience.
- Collaborate with front desk staff and clinical teams to streamline office workflows and improve overall efficiency.
Qualifications
- High school diploma or GED required; Associate’s degree in Healthcare Administration or related field is preferred.
- Minimum of 2 years of experience in a scheduling, administrative, or customer service role.
- Proficiency with electronic health records (EHR) systems and scheduling software (e.g., Epic, Athenahealth, Practice Fusion).
- Excellent verbal and written communication skills with a professional telephone manner.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain strict confidentiality and adhere to HIPAA regulations.
