Responsibilities
- Manage Patient Schedules: Oversee and coordinate appointment bookings, rescheduling, and cancellations for a high volume of patients using advanced scheduling software.
- Communication Hub: Act as the primary point of contact for incoming calls, emails, and patient inquiries, ensuring accurate information is relayed to medical staff.
- Administrative Support: Prepare patient charts, update medical records, and ensure all necessary documentation is filed correctly and on time.
- Conflict Resolution: Anticipate scheduling conflicts and proactively resolve issues to minimize downtime for providers and maximize patient satisfaction.
- Vendor Liaison: Coordinate with external facilities, labs, and insurance providers to facilitate smooth referrals and specialist appointments.
- Data Entry: Maintain precise records of daily appointments, no-show rates, and patient demographics in the practice management system.
Qualifications
- Experience: Minimum of 1-2 years of experience in medical scheduling, administrative coordination, or a related field.
- Education: High School Diploma or GED required; Associate’s degree or certification in Medical Office Administration preferred.
- Technical Skills: Proficiency with Electronic Health Records (EHR) systems (e.g., Epic, AthenaHealth) and Microsoft Office Suite is essential.
- Communication: Excellent verbal and written communication skills with a focus on empathy and professionalism.
- Attention to Detail: Ability to manage multiple priorities and handle sensitive patient information with absolute confidentiality.
