Responsibilities
- Manage and coordinate daily calendars for healthcare providers and administrative staff, ensuring optimal time allocation.
- Utilize advanced scheduling software to book new patient appointments, manage rescheduling, and reduce no-show rates.
- Answer high-volume incoming calls and emails with a professional, empathetic, and patient-centric approach.
- Verify patient demographics, insurance information, and medical history prior to appointment arrival.
- Update Electronic Health Records (EHR) and internal databases in real-time with high accuracy.
- Collaborate with clinical teams to resolve scheduling conflicts and manage urgent requests efficiently.
- Prepare necessary documentation and confirmations for patient arrivals via phone or secure messaging.
Qualifications
- High school diploma or equivalent required; Associate’s degree in Healthcare Administration preferred.
- Minimum of 1-2 years of experience in medical scheduling, front desk administration, or a related field.
- Proficiency in Microsoft Office Suite (Excel, Outlook) and EHR systems (Epic, Cerner, or similar) is highly desirable.
- Excellent verbal and written communication skills with the ability to de-escalate patient inquiries.
- Strong organizational skills with the ability to multitask and prioritize tasks in a high-pressure setting.
- Ability to maintain strict confidentiality and adhere to HIPAA compliance standards at all times.
